Accounts Payables Job Description

Accounts Payables roles are essential to a company’s financial management, responsible for processing and managing outgoing payments, maintaining records, and ensuring compliance with internal controls and policies[1].

Key Responsibilities:

  • Processing invoices, verifying their accuracy and ensuring prompt payment to vendors in line with purchase documents and internal procedures[1][3][8].
  • Maintaining and organizing accounts payable documentation and records, both digitally and physically[2][3].
  • Reconciling accounts payable transactions, including monthly AP aging reports and vendor statements[2][3][5].
  • Resolving invoice, payment, and purchase order discrepancies, and addressing vendor inquiries[2][5].
  • Posting transactions to ledgers, journals, and other accounting records as directed[2].
  • Preparing and distributing payment batches (checks, ACH), ensuring proper approvals and supporting documentation[2][3][5].
  • Maintaining schedules to ensure timely payments and monitoring vendor accounts[3].
  • Supporting audits by providing accounts payable documentation and responding to queries from auditors[2][4].
  • Assisting with other accounting functions, such as preparing journal entries and supporting monthly close activities[3].
  • Ensuring compliance with company procedures, accounting principles, and legal requirements[1][2].

Required Skills and Qualifications:

  • Diploma or degree in Accounting, Finance, or a related field[1].
  • At least 2 years of experience in accounts payable or similar roles[1].
  • Proficiency in Microsoft Office applications (Excel, Word, Outlook); experience with accounting or ERP software is valued[1][2][5].
  • Excellent time management, organization, communication, and analytical skills[1][5].
  • Attention to detail and accuracy in data entry and record-keeping[2][5].
  • Satisfactory background check and proven basic math ability[2].
